The SAIS Annual Conference is the largest regional networking and educational event for independent school professionals in the Southeast. Attendees will examine critical issues, discuss proven strategies, and share emerging trends at the largest gathering of its kind in the region.

What are the sponsor enhancement options?

  • Keynotes & Lunch: We will provide sponsor signage and your logo on the welcome screens. You will be responsible for providing seat drops and your 60-second video.
  • Breakfast & Receptions: We will provide sponsor signage in the event space.
  • Water Bottle, Wine Tumbler, Notebook, Luggage Tag, or Tote Bag: One side will have the SAIS logo and the other side will have your company’s logo.
  • Conference App: Your logo will appear prominently on the conference app, which will feature the schedule, session descriptions, attendee roster, speaker bios, and resources.

ON-SITE PERSONNEL

  • We will contact you in September to ask for the names of your on-site personnel.
  • A maximum of one (1) personnel per exhibitor booth will be allowed. A maximum of two (2) personnel per sponsor booth will be allowed.
  • Conference registration for booth personnel is included.
  • All booth reps must be employees or representatives who receive commission, brokerage, or salary from the exhibitor.
  • Booth reps must be over the age of 21.
  • Please note that no suitcasing will be allowed.
  • No pets or animals allowed in the exhibit or meeting space.

BOOTH INFORMATION

BOOTH ASSIGNMENT

You will select your booth when you register. Note that booth placement will be assigned IN THE ORDER RECEIVED. View the booth map here. *Please note: Floor plans are subject to change and SAIS reserves the right to make adjustments as necessary. Floor plans may not immediately indicate ongoing and most recent changes. Additional booths may be available if distancing guidelines change prior to the event.

BOOTH PACKAGE & RESTRICTIONS

Each exhibitor will have a 6′ x 30″ rectangular table and 1 chair. Each sponsor will have a 6′ x 30″ rectangular table and 2 chairs. Due to space restrictions, larger tables will not be available.    

  • Signs over 6′ wide and rugs that protrude into the aisle are prohibited.
  • Booths not dismantled by the end of the allotted tear-down time period will be broken down and put into storage at a $250 storage and handling fee. Return shipping will incur an additional fee.
  • All food served in the exhibit hall must be procured from the hotel.
  • SAIS reserves the right to refuse any application for exhibit space and to restrict exhibit activities during the meeting that in the sole judgement of SAIS are not appropriate to the meeting’s purpose.

EXHIBIT HALL LAYOUT

The exhibit space is in the pre-function area of the Ravinia Ballroom and is over 6,000 square feet! Due to the large size and open configuration of the pre-function space, all booth locations offer a positive opportunity for interacting and conversing with conference participants, as well as easy access to the keynotes and meals. Additionally, you’ll see that the other side of the pre-function space offers sole access to the hotel lobbyrestrooms, breakouts, and parking deck.

FAQs

BAG STUFFER ADD-ON

Each conference attendee will receive a tote bag at registration. The item should be no larger than 8.5×11 inches (and ½” inch thick) such as koozies, pens, stickers, brochures, download cards, or other swag. If you have any questions about a specific item, or if your intended item does not fall within those parameters, please contact info@sais.org as soon as possible to discuss. Bag stuffers will need to be received by SAIS staff by October 6 the conference. You may include a bag stuffer for an additional $500. Limit of five available.

MAILING ADDRESSES

Mailing addresses for all conference registrants will be provided two weeks prior to the conference so that you may snail-mail a brochure. These are for ONE-TIME USE ONLY. They may not, in whole or part, be reproduced, copied, disseminated, entered into a computer database or otherwise utilized, in any form or manner or by any means, except for the one-time mailing associated. Unfortunately, we cannot release attendee email addresses due to our privacy policy.  

HOTEL RESERVATIONS

Reservations can be made online.

  • Group rate = $162
  • Cut-off date = Friday, September 24, or when the block is full.
  • Parking: SAIS attendees receive 50% off Crowne Plaza Ravinia’s self-parking rates
  • Group rate offered three days pre/post based on availability.

LOGISTICS

  • AIRPORT: Hartsfield Jackson International Airport (airport code = ATL)
  • GROUND TRANSPORTATION: The hotel is 1 mile from the Dunwoody MARTA station on the red line ($2.50 one way). Cabs are also available to/from the airport ($60 one way).

  • SAIS Conference is state of the art. The topics are fantastic, the participants are friendly and engaging, and the SAIS staff is the gold standard. They work hard to make the experience as pleasant and easy as they can.

This creates a congenial tone unmatched at other events and therefore makes the SAIS conference more productive than any other.
  • We liked that there were set times for the attendees to speak to the exhibitors; many other conferences expect attendees to find time to speak with us between sessions and that often does not happen. It was very organized and we knew exactly what to expect.

SHIPPING

Any materials for your exhibit should be shipped directly to your attention (hold for arrival) to the Crowne Plaza Ravinia. Boxes will be received no earlier than October 13. Please use the following address and label format and if you have multiple boxes, please mark them 1 of 3 and so on. This will help the hotel find and organize your items.

Exhibit personnel in charge of setting up your booth should be aware of how and when all freight was shipped, tracking/pro numbers, and the carrier. This information is EXTREMELY important when trying to locate missing freight.  SAIS is not responsible for missing freight.

RETURN SHIPPING: We HIGHLY recommend bringing your own pre-printed shipping labels.

CANCELLATION POLICY

Sponsorships are non-refundable.

Exhibitor cancellations received in writing to info@sais.org before August 31 will be refunded less a 30% processing fee. Cancellations received after August 31 are not eligible for a refund.

MEDIA RELEASE

Registration, attendance at, or participation in SAIS meetings and other activities constitutes an agreement by the registrant to SAIS’s use and distribution (both now and in the future) of the registrant or attendee’s image or voice in photographs, videos, electronic reproductions, and audio of such events and activities.
