  • Keynotes & Lunch: We will provide sponsor signage and your logo on the welcome screens. You will be responsible for providing seat drops and a 60-second video.
  • Receptions & Breakfast: We will provide sponsor signage in the reception/breakfast space.
  • Coffee Mug, Notebook, Tote Bag, Koozie, or Luggage Tag: Your logo and the SAIS logo will appear on your selected item.
  • Live Illustration: A live illustrator will attend sessions on Monday. Your logo will be incorporated into the giant sketchnotes which will be displayed throughout the conference space after the sessions.

ON-SITE PERSONNEL

  • Conference registration is included as follows:

  • We will contact you in September to ask for the names of your on-site personnel.
  • All personnel must be employees or representatives who receive commission, brokerage, or salary from the exhibiting entity.
  • All personnel must be over the age of 21.
  • No suitcasing.
  • No pets or animals allowed in the exhibit or meeting space.

BOOTH ASSIGNMENT

You will select your booth when you register. Note that booth placement will be assigned IN THE ORDER RECEIVED. View the booth map here. *Please note: Floor plans are subject to change and SAIS reserves the right to make adjustments as necessary. Floor plans may not immediately indicate ongoing and most recent changes. Additional booths may be available if distancing guidelines change prior to the event.

BOOTH PACKAGE & RESTRICTIONS

Each 30″x30″ exhibitor will have a 30″x30″ round hi-boy with 1 barstool.

Each 6’x30″ exhibitor and sponsor will have a 6′ x 30″ rectangular table and 2 chairs.

Due to space restrictions, larger tables will not be available.    

  • Signs over 6′ wide and rugs that protrude into the aisle are prohibited.
  • Booths not dismantled by the end of the allotted tear-down time period will be broken down and put into storage at a $250 storage and handling fee. Return shipping will incur an additional fee.
  • All food served in the exhibit hall must be procured from the hotel.
  • SAIS reserves the right to refuse any application for exhibit space and to restrict exhibit activities during the meeting that in the sole judgement of SAIS are not appropriate to the meeting’s purpose.

MAILING ADDRESSES

Mailing addresses for all conference registrants will be provided two weeks prior to the conference so that you may snail-mail a brochure. These are for ONE-TIME USE ONLY. They may not, in whole or part, be reproduced, copied, disseminated, entered into a computer database or otherwise utilized, in any form or manner or by any means, except for the one-time mailing associated. Unfortunately, we cannot release attendee email addresses due to our privacy policy.

  • We liked that there were set times for the attendees to speak to the exhibitors; many other conferences expect attendees to find time to speak with us between sessions and that often does not happen. It was very organized and we knew exactly what to expect.

SHIPPING

  • Any materials for your exhibit should be shipped directly to your attention (hold for arrival) to the Franklin Marriott Cool Springs.
  • Boxes will be received no earlier than October 20.
  • Please affix this label to each of your boxes so that SAIS staff and hotel personnel can easily locate your packages.
  • Use the below format when addressing your boxes. If you have multiple boxes, please mark them 1 of 3 and so on. This will help the hotel find and organize your items.

Exhibit personnel in charge of setting up your booth should be aware of how and when all freight was shipped, tracking/pro numbers, and the carrier. This information is EXTREMELY important when trying to locate missing freight. SAIS is not responsible for missing freight.

*OUTBOUND SHIPPING: Please bring your own pre-printed shipping labels. Pack and label your boxes and leave them at your exhibit table. You will need to schedule pick-up with your carrier. Hotel staff will collect packages after exhibitor tear-down. Be sure to keep your tracking information on your shipment(s).

COVID SAFETY GUIDELINES

Providing a safe environment for learning is a top priority at SAIS, as it is in your schools. We need your help to achieve this goal. We want to help keep you safe and healthy as we deliver this stellar lineup of speakers and sessions.

  • All participants will be fully vaccinated according to CDC guidelines or will submit a negative PCR test administered within 72 hours of arrival at the event in the event that they need a vaccination accommodation.
  • As safety guidelines continue to shift based on the latest research, case counts, and medical treatments, we will determine our on-site masking and distancing protocols accordingly.
  • Masks and hand sanitizer will be available at the SAIS registration desk.

ACKNOWLEDGEMENT OF RISK & SAFETY PROCEDURES

Participation in SAIS events signifies an attendee’s acknowledgement of infectious and other diseases and voluntary assumption of the risk of exposure or infection by attending the event. Attendees agree to comply with all guidelines and procedures, including distancing and/or masking, that may be implemented by SAIS, in accordance with recommendations from the CDC and other public health authorities.

CANCELLATION POLICY

Sponsorships are non-refundable.

Exhibitor cancellations received in writing to info@sais.org before August 31 will be refunded less a 20% processing fee. Cancellations received after August 31 are not eligible for a refund.

MEDIA RELEASE

Registration, attendance at, or participation in SAIS meetings and other activities constitutes an agreement by the registrant to SAIS’s use and distribution (both now and in the future) of the registrant or attendee’s image or voice in photographs, videos, electronic reproductions, and audio of such events and activities.
