General Job Description

The Accounting Manager will be a key member of the business office team.  The position requires a person who is highly motivated, detail-oriented, an effective communicator, energetic, and committed to our mission. The Accounting Manager is a full-time, non-exempt position, and reports to the Director of Finance and Operations (DFO).


Specific duties and responsibilities:


Banking and Investments

  • Reconcile monthly bank statements
  • Reconcile and enter monthly investment and endowment portfolio activity
  • Oversee school credit card distribution and monthly draft payment
  • Maintain filing system


Student Billing and Receivables

  • Process monthly tuition deposits and miscellaneous receipts
  • Assist in periodic updates to tuition management database
  • Reconcile student billing sub-ledger schedules monthly
  • Post annual fund gifts to general ledger and maintain pledges receivables ledger
  • Reconcile pledges receivable monthly
  • Prepare financial aid award letters
  • Maintain logo sales inventory
  • Prepare reports as needed


Payroll and Benefits

  • Process monthly payroll through third party vendor, ADP
  • Submit monthly and annual retirement contributions
  • Enter monthly payroll journal entry
  • Review and process annual W-2 and ACA employee tax forms
  • Manage online onboarding and open enrollment system
  • Assist employees with online HR system, as needed
  • Create monthly electronic timesheets
  • Send monthly timesheet reminders
  • Review monthly timesheets and calculate additional hours by division
  • Assist in processing of benefit plan disbursements
  • Prepare annual employee letters of agreement
  • Prepare reports as needed


Fixed Assets

  • Update annual fixed assets subledger – additions and disposals
  • Calculate quarterly depreciation
  • Prepare annual property tax listing


Accounts Payable/Prepaid Expenses

  • Review payables prior to Office Manager processing
  • Serve as backup for check requests as needed
  • Update prepaid expenses quarterly
  • Maintain subledgers, as needed
  • Maintain filing system




  • Enter annual budget into accounting software
  • Prepare actual vs. budget monthly reports for teachers and division directors
  • Prepare quarterly financial statements for finance committee
  • Prepare ad hoc reports, as needed



  • Prepare annual 1099s
  • Prepare bi-annual sales tax refund requests
  • Prepare 990 tax schedules for tax preparer
  • Maintain subledger schedules and assist in audit preparation




  • Bachelor’s Degree with at least five years of relevant accounting experience required
  • Non-profit accounting experience required, independent school accounting experience preferred
  • Google applications, Blackbaud and ADP experienced preferred
  • Impeccable attention to detail
  • Excellent written and oral communication skills
  • Outstanding interpersonal skills and judgment; high level of professionalism
  • Excellent organizational skills; ability to prioritize, plan and follow through on tasks
  • Demonstrated ability to initiate and complete multiple tasks on time
  • Proven ability to work well within a team and independently
  • Demonstrated experience in all aspects of administrative responsibilities
  • Discretion in handling confidential information

The Accounting Manager is a full-time, non-exempt, twelve-month position. Salary will be competitive based upon experience and qualifications. A comprehensive benefits package is provided.
