Administrative Assistant to the Head of School


Pace Academy is an independent college preparatory school in Atlanta, Ga., with an enrollment of 1,115 students in Pre-First through 12th grades. Pace is looking for a passionate, friendly and organized administrator to fill the role of Administrative Assistant within the Office of the Head of School. This newly created position will report directly to the Executive Assistant to the Head of School and provide additional administrative support to the Head of School. Projected start date is late 2021/early 2022.

The ideal candidate must be able to think critically; efficiently multitask; take initiative; collaborate effectively with colleagues across Pace Academy’s Lower, Middle and Upper Schools; and maintain a high level of professionalism, as well as confidentiality, when interfacing with parents, students, faculty and staff. The candidate must support the school in maintaining a work environment that fosters learning, respect, open communication, collaboration and teamwork.

Essential Duties and Responsibilities include the following. Other duties may be assigned.


Basic administrative tasks:

  • Supports the work of the Office of the Head of School as directed by the Executive Assistant to the Head of School
  • Coordinates schedules and makes appointments for the Head of School
  • Assists with calendar management, accounting for day-to-day meetings, calls and movements, both business and personal
  • Attends and participates in quarterly development meetings with the Executive Assistant to the Head of School and other routine meetings
  • Manages tasks in the Executive Assistant’s absence, as needed, including overseeing the Head of School’s calendar and supporting the Board of Trustees
  • Greets and assists scheduled visitors
  • Prepares, compiles and edits routine correspondence
  • Navigates school-wide databases and calendars
  • Manages Retired Faculty group correspondence
  • Effectively directs calls and appropriately responds to inquiries
  • Completes various off-campus errands as needed
  • Fills in for the Front Desk Receptionist as needed, including greeting visitors, answering the phone and receiving/sorting mail


Event support:

  • Manages day-to-day campus operations and acts as a liaison with the facilities department
  • Coordinates and arranges meetings, prepares agendas, reserves facilities
  • Handles administrative tasks (facilities reservation, setup, food, invitations, transportation, etc.) for special events, both annual and one-time, as requested by the Head of School and in coordination with other faculty and/or administrators
  • Coordinates logistics with facilities, caterers, cleaning and parking vendors, etc.
  • Attends events as needed or requested, including after-hours and weekend events
  • Must collaborate with: Facilities Department, Advancement Office, Business Office, Human Resources, and all other departments and divisions within the school as needed



  • Bachelor’s degree required; minimum 2-3 years related experience required
  • Strong administrative skills
  • Types of preferred experience: operations, administration, customer service, non-profit, education
  • Proficient use of G Suite (Gmail, calendar, docs, sheets) as well as Microsoft Suite
  • Comfortable with technology and able to quickly learn and utilize Pace software and programs
  • Determines priorities and actions required on projects in a proactive manner and successfully meets deadlines
  • A teachable, coachable and positive attitude
  • A sense of humor and flexibility
  • Diplomatic, tactful and discrete concerning confidential and sensitive information
  • Excellent written and oral communication skills
  • Ability to work in a fast-paced environment with demonstrated ability to juggle and prioritize multiple competing tasks and demands, and to seek supervisory assistance as appropriate
  • Ability to work with different personalities and remain calm under pressure
  • Attention to detail and deadlines
  • Creative trouble-shooting and problem-solving skills and the ability to smoothly handle complaints
  • Willingness to participate in and enthusiasm for school life and culture
  • Must be able to work in a full-time, 12-month capacity, in person
  • Attendance at evening and/or weekend events required
