Minimum Education: BA/BS

The Early Learning Administrative Assistant provides administrative support to the Early Learning Principal and Early Learning team.

 

  • Collaboration with, and participation in, Early Learning Administrative Team Meetings and decision-making
  • Acts as liaison between parents, faculty, and administration
  • Organizes, prioritizes, and distributes information including daily mail/e-mail; aggregates student data, including attendance, and interfaces with Middle and Upper School administration
  • Coordinates with parents and teachers in the process of checking students in and out of school (retrieves students from classes/delivers messages to students)
  • Distributes information including class schedules and class lists including postings, field trips, and visitors
  • Organizes and maintains schedules including calendars, meetings, travel, conferences, visitors and department activities for Early Learning faculty and for Early Learning principal
  • Creates, manages and maintains Early Learning files
  • Answers Early Learning office phone and efficiently distributes messages
  • Enters data in Blackbaud, including homeroom lists
  • Assists Early Learning Principal with materials needed for classroom policies and procedures
  • Monitors and signs in visitors
  • Maintains office equipment and orders all supplies to keep equipment running smoothly (copiers, laminating machine)
  • Maintains organization and tidiness of common areas in Early Learning
  • Registers and withdraws Early Learning students, communicates changes with level personnel, and coordinates with business office and school registrar, and maintains enrollment information in database
  • Maintains and reports list of faculty absences and substitutes
  • Manages/keeps track of budget entries – including processing POs and check requests
  • Prepares presentations, correspondence, forms, and reports; assists with compilation of surveys and other data for Early Learning administrators
  • Places, receives, and distributes classroom orders/supplies
  • Helps coordinate conference schedules and sign ups
  • Reports and oversees maintenance needs for Early Learning
  • May assist in proofreading and editing progress reports
