Job Description


Functions as all school receptionist/centralized communications facilitator by managing incoming calls, visitors, mail, and suppliers.  Provides clerical assistance for administrative office.


Retrieves messages from the school’s primary voice mail and forwards messages and/or information to appropriate personnel.  Answers incoming phone calls, determines purpose of callers, and transfers calls to the appropriate staff member/department.  Takes and delivers messages or transfers calls to voicemail when appropriate personnel are not available.

Supports Human Resources Department by communicating absence of personnel to the entire school. Serves as primary point person for tracking daily locations of High School, Middle School and Elementary personnel.

Maintains current and updated copy of crisis procedures at front desk for easy access and maintain red emergency binder.

Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.

Monitors visitor access and issues passes/identification when required:

  • Issues passes to alumni when appropriate
  • Issues name tags to all visitors
  • Issues name tags to volunteers
  • Maintains sign-in/sign out visitor sheet

Functions as centralized source for campus information and communication.

Receives, sorts and routes mail.

Maintains fax machine, assists users, and retrieves faxes and routes accordingly.  Maintain postage machine and its supplies.

Signs for receipt of goods and disburses accordingly.

Orders, receives and maintains office supplies.

Maintains/organizes copy room, staff mailboxes, supply cabinet.

Maintains admin building kitchen area.

Maintains confidentiality of individuals.

Sends email messages to appropriate staff or delivers messages of immediate nature with staff information and/or general campus information as needed for daily function of routine campus duties.

Performs other clerical duties as needed to include typing, filing, and photocopying.

QUALIFICATIONS AND EXPERIENCE: To perform this job successfully, the individual must have excellent organizational and communication skills and be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. This job requires a minimum of a high school diploma and effective communication skills. The ability to multitask, organize and prioritize tasks are tantamount.  People skills are a must – this position is often the first impression of The Cottage School.  Candidate must have the ability to utilize Microsoft Office software to enable communication with staff and interface with various projects.  Because of the population of students we serve, it is important that this person is clear and concise in his/her ability to communicate. Basic math skills are necessary for performing daily/routine duties.
